What happens when the 21-day trial ends

CloudTally starts every new organisation on a 21-day Pro trial. On day 21 the workspace switches to Free unless you've upgraded. Nothing breaks; some capabilities just stop showing detail. This page lays out the exact transition so you're not surprised.

The transition, step by step

• Day 20: a banner appears in the app reminding you that the trial ends tomorrow.
• Day 21: the workspace switches from trial-Pro to Free. The change is immediate; no downtime, no data loss.
• Day 22 onwards: you continue on Free indefinitely. You can upgrade to Pro at any time from Settings → Billing.

You don't have to cancel anything. The trial doesn't auto-bill — if you take no action, you stay on Free.

What you keep on Free

• Your data. All historical cost data stays. Free retains up to 62 days of detailed cost history; on the trial you had longer access but the data itself isn't deleted on day 21.
• One connection. If you have multiple Hetzner projects connected, Free supports one. The others stay configured but stop syncing until you remove some or upgrade. The first one you added remains active by default.
• The dashboard. This month, projected month-end (headline only), top cost drivers, cost-by-type chart.
• Budgets — at least one. Free supports one budget; if you created several during the trial, only one remains active. Email alerts still fire.
• Resources page. Full inventory across the active connection, sortable by cost.
• Recommendations and waste — as counts. You see how many idle servers, how many recommendations. The detail moves behind the Pro gate.
• Hourly background sync. CloudTally keeps pulling fresh data automatically.

What gets gated

These capabilities stop showing on Free:

• Smart forecast with category drivers. The headline projected month-end stays; the explanation and drilldown don't.
• Waste drilldown. The count of idle resources stays visible; the per-resource list and savings estimates don't.
• Rightsizing detail. Recommendation count stays; specific server suggestions and projected savings don't.
• On-demand sync. Free syncs hourly; the manual "sync now" button isn't available.
• Multi-connection. Only one active connection at a time.
• Multi-budget. Only one active budget.
• Multi-threshold alert rules, advanced budget mode, portfolio summaries.
• API access.
• Longer history. Cost history past 62 days isn't accessible from the UI on Free.

What to do before day 21

Nothing's required. But if you want to make the transition cleaner:

• Pick the connection that matters most. If you have several projects connected, decide which one stays active on Free. You can re-activate any of the others later, or upgrade to keep them all.
• Pick the budget that matters most. Same logic — only one stays active.
• Export or note anything you want to keep visible. Cost history isn't deleted, but if you have a specific number you'll want to reference later, write it down now.
• Decide. Your first week on the trial walks through the criteria for the Pro-vs-Free call.

If you change your mind

You can upgrade to Pro any time after the transition. All gated features re-enable immediately and your full data is still there — Free didn't delete it, just hid the deeper views. No re-onboarding needed.

You can also downgrade back from Pro to Free; the same gating applies in reverse.
